Copied from the "The Record Room" forum: Original post by earlgreyHello everybody, I hope you can help me. Not always, but I have problems entering new recordings at irregular intervals. I make my own scans of my acquired "treasures", create my own MP3's on a separate hard disk and integrate this data into the new data record to be entered. Unfortunately, there is an occasional mysterious error message: "An error occured:" DAORecordset.SetCollect.failed "and in German below the note:" The field is too small for the amount of data you want to add. Try adding less data ". The amount of data I use for this input is not larger than that of previous ones - and so far it has always worked out perfectly!? I am at a loss - maybe the software will really be overused by my approach. Maybe just the result of some update problem, possibly from Windows. I use Windows 10 Professional 64-bit! I would be very happy to receive helpful answers. I am attaching a screenshot to my posting to solve the problem - hope it helps

Does this error only happen when you have images? If you are saving the images in the database, it is possible that your images are too big. What is the resolution and file size of an average image?

Reply from earlgreyAt the beginning of my work with CATraxx, I still saved the images within the database, later no longer and now have all linked outside. In fact, they are quite large - around 500 kb to sometimes slightly over 1 MB per image. But I think the pictures are not the problem ... the MP3s are also linked and not included in the respective CATraxx database. I have divided my sound carrrier collection into three areas / files: 1) Pop / Rock / Jazz 2) Classical 3) Special collection area from ONE group: The error message so far only comes in the pop / rock / jazz area - so far I have also entered most of the recordings. At this time (copied from the Explorer view on the right) Size: 218.861.568 bytes (208,72 MB) Created: 10.09.2011 Locale: General Last backup: 20.04.2020 Albums: 1.384 Tracks: 22.846 Artists/persons: 20.872 Audio files: 16.972 Could be difficult, because in total I have an estimated 8000 recordings that want to be filled in at the CATraxx database. Maybe I "overdo" it with the input options within CATraxx, but I think Fredrik Nordbake has already designed it so that everything should work - actually .... At the moment it does not matter whether I want to add the CD shown in the screenshot via "Add - Download from CDDB" or "Add - Manual query" or the red button "Add". At first I thought that maybe the data, which will be taken over by the CDDB, is wrong - later it worked without problems with other recordings. And I didn't do anything else like that before ... Very puzzling for me as a non-software developer But wait - I have an idea .... For my picture management (scanning, managing, renaming, etc.) I use the software "Zoner Photo Studio 15 (Build 8) PRO" - an older version, the possibilities for my picture- Editing offers what newer versions do not have. It still works, even under Windows 10. I have now found that this software or my entire system "hangs" somewhat when I generate longer image file names. It is e.g. also possible to use question marks, exclamation marks etc. in file names. I have now shortened the file names of the "She Came From Liverpool" CD so that I still know what it is when I use the search in Explorer ... let's see if it works in CATraxx 9.51, I will contact you again when I have tried it in CATraxx Maybe you have another idea why it could be. Well, very strange - and how could one underline this better in a music management software than with a musical greeting -> www.youtube.com/watch?v=6zTwOB91WQE HOW CAN IT BE? First steps of Ronnie Wood in musical business, after he joined the Rolling Stones in later years... Best regards Earl-Grey

In English: strange, my database is much smaller with a similar number of records: (see above) Have you ever compressed the DB? (File - Compact database) Or have you ever done a repair? (Tools - Repair database) Does the error occur with the last "OK" of the new record or when linking the image? Gruß Uwe

Reply from earlgreyustoexx and @dougwilliams : German: Hast Du mal die DB komprimiert? English: Have you ever compressed the DB? (File - Compact database) Or have you ever done a repair? (Tools - Repair database) Does the error occur with the last "OK" of the new record or when linking the image? English: Maybe I have done this over the years, I think I have never had to repair it. The error occurs when I clicked the "OK" button in the input window. The size of the database so far could still come from the fact that I have not revised all of my very first entries - there I have the images DIRECTLY included in the CATraxx database! As I wrote, an attempt was made to make the file names shorter. With "Zoner Photo Studio 15" I could even include exclamation marks, question marks etc. in file names, which e.g. was not possible in Windows Explorer - there the system always complained. Either that was it - or my second approach -> entering a completely different CD via "Add - Download from CDDB" - which could - typical "demonstration effect" - be entered this time without complaining. As a precaution, I saved the new entry several times via "OK", no error message - not even when I had integrated all the pictures and the links to my self-created MP3s ... Well something like that - but OK, that's how it was about a year ago - even then it went "somehow" later - without an error message! In any case, thank you very much for the help, you both, I should really try that with database compression. If it doesn't work, I still have my backups. I always have 30 pieces created, after that the 31st backup overwrites the number 1 etc. etc. ..... Andreas alias Earl-Grey

Reply from ustoexx- Sonderzeichen in Dateinamen sind keine gute Idee - Extrahiere mal die Bilder (Tools - Database Management - Extract images) - DB regelmäßig komprimieren Translation: - Special characters in file names are not a good idea - Extract the images (Tools - Database Management - Extract images) - Compress DB regularly

English: Thanks for the tips, Uwe. I have achieved a small success in compressing the database: 1) Size: 203,673,600 bytes (194.24 MB) -> after using "File" -> "Compact Database" 2) Size: 202,792,960 bytes (193.40 MB) -> after using "Tools" -> "Database Maintenance" -> "Extract Images" (there were only 7 left that I forgot ...) and again "Compact Database" You probably left far less additional data when you entered it than I did. If you take a look at when I started with CATraxx (see post above) and how many entries there were "only" during this time - yes, that unfortunately takes time and sometimes nerves, but it's worth it. This data is important to me - unfortunately it also ensures a more extensive CATraxx file. Nevertheless, the program still loads very quickly - everything is now even quicker because I switched to SSD, they are now so reliable that I hopefully won't run out of them In any case, the data entry now works again without this ominous error message. I'm going to type very strongly on the special characters! It was probably not possible to integrate this during the programming of CATraxx by Fredrik Nordbake, because the requirements for this were not yet correct due to the operating system circumstances at that time ...!? I will definitely keep an eye on this and no longer generate file names that are too long, and leave out the special characters. Hope that helps... Andreas
